An experience letter (or employment certificate) is an official document from an employer confirming the duration of employment, designation held, and nature of work. It is one of the most critical documents for career advancement in India — required for job applications, higher education admissions, immigration processes (H1B, PR applications), professional certifications, and government service applications. A combined relieving-cum-experience letter confirms both that the employee's resignation has been accepted and the period and nature of service.
A proper experience letter must contain: company letterhead with full address and CIN/registration number, date of issuance, employee's full name as per records, employee ID, designation(s) held (including promotions), exact joining date and last working date, nature of work/responsibilities, a statement of satisfactory service, authorized signatory name/designation, company seal, and HR contact for verification. Omitting any of these elements can cause issues during background verification by the new employer.
Experience letters for background verification (BGV) increasingly require detailed information as HR tech companies (AuthBridge, SpringVerify, HireRight) conduct systematic checks. Discrepancies between claimed experience and letter details — even minor date differences — can result in BGV failures and offer rescission. Indian courts have upheld termination for experience letter fraud, including padding tenure by a few months, misrepresenting designation, or claiming experience for a company that did not exist. Digital verification portals (some companies issue QR-coded experience letters) are increasingly common.

Common use cases
- Generating an experience letter for an employee who worked as a Software Engineer from January 2022 to March 2025
- Creating a relieving-cum-experience letter that confirms resignation acceptance and service details simultaneously
- Drafting an experience letter with promotion details — from Junior Developer to Senior Developer during tenure
- Generating experience certificate for an employee on contract/consultant basis (different template from permanent)
- Creating an experience letter with digital signature and QR code for BGV verification
Tips for best results
- 1Include both start date and end date with full month/year precision — BGV agencies flag any mismatch between stated dates and UAN portal records
- 2Specify the exact designation at the time of exit, not just the most recent one — if there were multiple roles, list them chronologically
- 3Always issue on company letterhead with authorized signatory (HR Head or authorized representative) — experience letters without letterhead or proper authorization are frequently questioned
- 4Provide BGV email or phone contact on the letter — makes verification faster and reduces chances of delay or rejection
- 5Employee PF UAN number can be included (optional) — enables instant cross-verification with EPFO records by the new employer
Frequently asked questions
- Is Konnect2Tools free?
- Yes. These in-browser tools are completely free to use with no account required for core functionality.
- Do my files leave my device?
- Browser document operations run locally, except where the operation uses an external service, such as AI summarisation. Read the processing note before using sensitive inputs.
- Is the Experience Letter Generator tool safe to use?
- Local operations process document content on your device. External-service operations may send inputs as described in the processing note. Keep originals and inspect the output.
- Is an experience letter mandatory for all employees leaving a job?
- Yes, employees are legally entitled to an experience letter/service certificate upon separation. Section 25(H) of the Industrial Disputes Act and various Shops and Establishments Acts across states mandate issuance of service certificates. Employers refusing to issue experience letters can be reported to the Labour Commissioner. In practice, experience letters for white-collar employees in the formal sector are routinely issued as part of exit formalities (full and final settlement). The employer cannot legally withhold experience letters to coerce employees or as leverage in disputes — though this practice regrettably occurs in small/unorganized sector employers.
- What is the difference between experience letter and relieving letter?
- Experience letter: confirms the period of employment, designation, and nature of work. States that the employee served in the organization and provides professional reference. Relieving letter: confirms that the employee's resignation has been accepted and they are officially relieved from all duties. States clearance of dues, asset returns, and handover completion. Some companies issue a combined 'relieving-cum-experience letter' combining both in one document. For background verification and new employer joining, both documents are typically required. If only one document is issued, a combined letter covering both purposes is more useful than a standalone experience letter.
- Can I get an experience letter if I was terminated (not resigned)?
- Yes — terminated employees are also entitled to service certificates/experience letters. The experience letter should not mention the reason for termination (termination, dismissal, etc.) unless legally required — standard practice is to state only period of service, designation, and nature of work. If termination was for misconduct, the employer has no legal obligation to provide a 'satisfactory service' statement. However, omitting negative language while still providing factual service details is the appropriate HR practice. If the employer refuses, the Labour Commissioner or industrial tribunal can direct issuance.
- How quickly should an employer issue an experience letter after separation?
- Most Shops and Establishments Acts require service certificates within a reasonable period of separation (typically implied as immediately at or after last working day). NASSCOM best practices suggest 30-45 days for full and final settlement and experience letter issuance. If BGV from new employer is in progress, delays can cost the candidate the new offer. If your ex-employer is taking more than 30 days, send a formal written request specifying deadline. If still unresponsive after 45-60 days, file a complaint with the Labour Commissioner (for workers under Shops and Establishments Act) or consider legal notice through an advocate.
